Designing an ERP system to accommodate different client needs

I know a lot of software companies out there that are very hungry for selling their systems. So hungry that they will bend and twist their systems like crazy to obey to client demands. Way back, we used to do the same thing and considered it to be good and healthy development for our system. When a client approaches us now with change requests, we always return to the client with a “proof of concept” challenge. It might be a really great change, but many times we found (especially during the initial system setup) that the client is asking for these changes due to how things were done in their previous system, and not how things were supposed to be done or could be done. For example I had a client requesting the system to automatically print out timesheets every Friday. When I asked why, the only reply I got was that they would then collect the prints and file them. Of course, they forgot why they had this workflow and once they were setup, they never asked again. My point is that with a new system, it shouldn’t necessarily follow code of conduct from the previous system. If it simply follows code of conduct for the sake of it, chances are that you never explore or find the new system’s capabilities and look at your workflows in a new perspective.

So, how have we got along with many clients and different needs? Well, first of all of course, we listen seriously to what our clients are suggesting. BUT, in order not to blow up the system and add a bunch of new (strange) features, we have around 700 different system variables that can be applied that will turn features on/off as well as having a built in sophisticated access control layer (did I mention SOX approved?) that will make sure that new features, screens and views are automatically turned off after an update has been applied. Then, each client can read through the release notes and decide what features they wish to enable and what features are to remain disabled. Another thing I was very surprised to learn recently was the fact that in many other ERP systems, custom made changes will no longer work when you upgrade from one version to another. Some systems won’t even upgrade when major changes have been applied. Companies will need to plan an update over several months to ensure that everything runs smoothly after the update (I even heard of one of my competitors that couldn’t update their own system from one version to another, so everything needed to be re-keyed!).

We have always been making sure that WorkBook will be compatible with older versions. In fact our custom built software update tool can seamlessly update a client running a very old version to a brand new version in a matter of hours. Any custom changes will still work after the update.

Our advice to new clients is, and always will be, to go for the standard. Try out the system as it was intended for about 2-3 months and if you still have a change request then there’s probably a good reason and we will have a look at it. It’s the most cost effective solution too. At the end of the day, our software is used by thousands of professionals worldwide every single day.

Give more power to your creative team! Scandinavian company magPeople have developed an integration between WorkBook & Adobe InDesign meaning that your creatives will now have the ability to create, edit and finalise creative documents while uploading them to WorkBook within the same environment.

Using magWorkflow software, you are able to extract all Project information from WorkBook also enabling your team to gain an overview of all documents currently existing in WorkBook for a specific customer, project or individual task. This latest development could mean that big chunks of your normal working day that are spent on administrative tasks (finding/uploading documents etc.) are eliminated meaning you have more time available to complete that overdue project.

Potential projects and capacity impact

Many clients has been asking for a view that would show potential projects and the impact on resource capacity. Ta-da!

Notice the yellow colour. This represents the allocated hours onto potential projects whereas the green colour represents the allocated hours to approved projects. Finally the blue colour represents the available capacity. The chart can be filtered by various groupings (shown in the list to the left) and you can choose between different chart styles.

Calendar view

Yup – we’ve added the calendar view to view your employees and their current allocated tasks. You can drag n’ drop tasks from one employee to another and easily add new tasks.

New WorkBook partner in Switzerland and France

Dropbox integration


Great news!
We have just finished the integration to Dropbox via the DropDAV service. This means that you are now able to connect your WorkBook with your Dropbox account and have files synced both ways.

Time for a quick update in current development efforts.

Calendar view in resource planning
This view will enable our users to view their to-do list in a Outlook calendar view as well as enable the traffic manager to allocate new tasks to people from a consolidated calendar view. Combined with the seemless integration to Gmail Calendar and Outlook makes the Resource Planning module a powerfull tool for the traffic manager. This feature has been requested for quite some time and we are happy to annouce it to be available soon.
 

Dashboard 
We are finally getting some work done on the dashboard and it’s going to be great. Imagine being able to view your data (client profitability, income statement, profit/loss, new business, resource capacity and much more) presented in nice graphical overviews.

Collaboration
A brand new feature that we have been working on for quite some time is the collaboration feature. Inspired by social workspaces/collaboration and knowledge sharing tools we decided to develop our own integrated collaboration feature that enables our users to communicate (by sharing comments and documents) on virtually any item in WorkBook (like tasks, jobs, clients, prospects). You’ll be notified by WorkBook when there’s something you need to turn your attention to. You can chose to be notified through the system and through an email.

Ohh… almost forgot: Microsoft Lync integration
We recently signed up with Office365 ourselves and that inspired one of our developers to add Lync integration.
